Backups and exporting your data

Updated October 19, 2026

Zamilo takes a snapshot of your company every night and keeps the last 14 days. An administrator can download any of those snapshots, or export the whole company at any time. Your data is yours, and you can take it with you whenever you like.

What is backed up

  • Your company's nightly snapshot. Every night at 03:00, Zamilo copies your company's records and stored files, with a manifest, into one zip file in your company's own folder of our file storage. Each snapshot is kept for 14 days, then deleted automatically.
  • Our platform backup. Separately, we back up the whole platform's database every night and keep it for about two weeks, so we can recover from a disaster. It holds every company's data, so it is never handed to a customer.

Snapshots leave out the passwords and keys for your connected services (mailboxes, QuickBooks, carriers and the like) and everyone's two-step sign-in secrets. Those are locked with a key that belongs to the server, so they could not be used from a file anyway.

Check your backups

  1. Go to Settings → Data & sync (under Data). Administrators and quality managers can open it.
  2. Find the Backups box. Its badge reads Protected when the last backup worked, Overdue when none has succeeded for 36 hours, and Not protected when the last one failed or none has worked for a week.
  3. Below it, This company's snapshots lists the stored snapshots with their sizes, newest first.

Back Up Now takes a snapshot straight away, in the background. It appears in the list once it is stored. Do this before any big change, such as a large import.

Download a snapshot

On Settings → Data & sync, click a snapshot's name, such as company-20261017T070000Z.zip. The name is the moment it was taken, in UTC. Downloading needs the Administrator role (or Integrations, access, data and sync); other roles see the list without links.

Export your company now

  1. On Settings → Data & sync, in the Backups box, press Export This Company.
  2. Zamilo packs the export in the background and the page refreshes itself. A large company takes a few minutes.
  3. Press Download the Export (the button shows its size).
  4. Once you have the file, press Discard to remove it from the server. Otherwise it stays there until your next export replaces it.

The export is the same format as a nightly snapshot, so either one can be imported. For a spreadsheet of a single list, use the CSV button on that list instead (roles with Export data as CSV).

What the zip contains

database.db
All your company's records in one SQLite database: accounts, contacts, deals, products, quotes, orders, stock, mail, quality records, users, roles and settings. Any SQLite tool can open it.
files/
Every file stored for your company, such as attachments, pictures and documents.
manifest.json
When the zip was made, your company's name, the number of rows in each table, and the number and size of the files. An import checks itself against these counts.

Treat the zip as confidential. It holds all your records and your users' password hashes (scrambled passwords, not the passwords themselves). Store it somewhere only the right people can reach.

Restore from a snapshot

Restoring replaces everything in your company with the contents of a snapshot or export. Anything entered after it was taken is lost.

  1. Download the snapshot you want to go back to.
  2. Press Export This Company and keep that file too, in case you need to undo the restore.
  3. Go to Settings → Import a snapshot and choose the file, or paste a Direct download link to it.
  4. Tick Replace this company's records.
  5. Press Start the Import. The page shows its progress, then each table's count against the manifest.

The restore happens in one step: if it fails, your company is left as it was. You keep your own account. Afterwards:

  • Mailboxes come back paused. Sign in to each one again, or re-enter its password, on Settings → Mailboxes.
  • Connect your Shopify stores again, and any AI tools people had connected.
  • Open Settings → Diagnostics to check every other connection (QuickBooks, carriers, the phone, AI keys) at once, and reconnect any that fails.
  • Ask colleagues to turn on two-step sign-in again from My Profile; the restore switches it off.
  • Send any open invitations again.

More detail on importing is in Bring your data into Zamilo.

Getting help

Support can restore a snapshot with you, or look into a backup that shows Overdue or Not protected. Ask support or write to [email protected], and tell us your company's name and the snapshot you need.

If you close your workspace, we keep it for 30 days so you can still export it, then delete it. Backups that contain it age out within a further 15 days. See Deleting your data.

Still stuck? Ask support and tell us what you tried; we reply by email.
