Getting started with your workspace

Zamilo is invite-only during the beta. When your company is accepted, we email an invitation to the person who will run your workspace. This guide takes you from that email to a working workspace: create it, protect your account with two-step sign-in, then work through the Getting started checklist.

Before you start

• The invitation email. Its subject is Your Zamilo workspace is ready to set up.
• A phone with an authenticator app, such as Google Authenticator, Microsoft Authenticator or the one in your password manager.

Open your invitation

The link in the email works once, for 72 hours. After that, or once it has been used, it opens a page that says That invitation has expired. Ask us for a new one through support. A new link replaces the old one.

Create the workspace

1. Open the link. The page is called Set up your workspace and shows the email address you will sign in with. You become the workspace's first administrator.
2. Check Company name. It is filled in from the invitation; change it if needed.
3. Type Your name.
4. Pick your Time zone: Newfoundland, Atlantic, Eastern, Central, Mountain, Pacific, London, Central Europe or UTC. There is no setting to change it later, so choose the one your team works in.
5. Type a password in Choose a password and again in Confirm the password. It needs at least 10 characters and at least three of: lower case, upper case, digits, symbols. Very common passwords, and the part of your email before the @, are refused.
6. Press Create the Workspace. Zamilo creates your company, signs you in and opens the Dashboard.

Your workspace starts empty, and nobody else can open it until you invite them.

Turn on two-step sign-in

Your account can change everything in the workspace, so protect it before you add data.

1. Click your name at the bottom of the left-hand menu to open My Profile.
2. In the Security box, press Two-Step Sign-In: Off.
3. Scan the QR code with your authenticator app, type the six-digit code it shows, and press Turn On.
4. Keep the ten recovery codes Zamilo shows next. They are shown only once.

Work through the checklist

Administrators see a Getting started box on the dashboard, with a count such as “2 of 8 done”. Each step is ticked by what is really in your workspace: once a business exists, that step shows Done. Click a step's title to open the page where you do it.

Invite your team	Each person gets an email with a link to join.	The Invite people page. See Inviting your team.

Do the steps in any order and skip the ones you don't need. The box disappears once every step that can be done is done. Put this list away hides it sooner, for everyone, and there is no button to bring it back. Every page it pointed to stays in Settings, under System in the left-hand menu.

Signing in later

• Sign in at https://app.zamilo.io/login with your email and password. With two-step sign-in on, you then type the code from your app. The code must follow the password within five minutes.
• Tick Keep me signed in on this computer to stay signed in on that browser for 30 days.
• If your email address has an account in more than one Zamilo workspace, you see Choose a workspace after the password. Pick the company you want to work in.
• Forgot your password? Use Forgotten your password? on the sign-in page. The emailed link works once, for 15 minutes.
• Five wrong passwords or codes within 15 minutes lock the account for 15 minutes. Another administrator can press Unlock on Settings → Users.
